Background
The consent setting enables you to collect sensitive demographic data using Survey attributes, in support of your compliance obligations with GDPR. It generates a consent notice for employees to agree to the processing of their data for survey and data analytics purposes.
The consent setting isn't necessary if you import sensitive data using your HRIS system, and the data collection has been outside of the Peakon platform.
To avoid misuse of the sensitive data that you've collected using Survey attributes, any attribute that you set as consent requiring is also restricted and can't be unrestricted at a later time. You can manage user group access to restricted attributes in Access Control.
The consent notice displays every time an employee provides data to a sensitive attribute or changes their existing response to a sensitive attribute. This enables employees to opt out and remove their sensitive survey attribute data from Peakon) or to change their data every time they interact with a Peakon survey.
As specified in the legal consent notice, employees can withdraw consent in between survey rounds, by contacting their Peakon administrator (typically the HR/People team), who can complete the request with Workday Support.
Survey participant experience
The survey attributes that you've enabled will display at the start of the survey. The consent pop up only displays if an employee responds to a sensitive survey attribute. You can Customize the consent message for sensitive survey attributes.
- If you've marked the consent requiring survey attribute as Optional, employees can proceed to the regular survey questions without self-selecting a response. If an employee responds to a sensitive survey attribute, but doesn't want to accept the consent notice, they need to remove their data before they can continue to the regular survey questions.
- If you've marked the consent requiring survey attribute as Mandatory, employees must self-select a response and consent to the data collection, in order to proceed to the regular survey questions. Note: This setting can impact overall survey participation rates.
Considerations
For security reasons, the consent setting comes with a few restrictions to avoid misuse.
Consideration | Description |
---|---|
Enabling the consent setting on an existing attribute |
It's not possible to change an existing attribute to require consent. Instead, create a new attribute. |
Require consent on a combination attribute |
It's not possible to require consent for a combination attribute. |
Create a combination attribute using sensitive attributes |
You can combine 2 option type attributes to create intersecting segments. If either of the original attributes requires consent, the combination attribute will become a restricted attribute. |
Importing data into a sensitive attribute |
If you upload data to the consent requiring attribute that's active in a survey, employees will see their pre-selected option, and will be able to change it. If they change their option, the consent pop up will display and they'll only be able to proceed after confirmation. In short, survey attributes only require consent if employees self-select sensitive data during the survey. |
Kiosk mode |
It's not possible to use consent requiring survey attributes in kiosk mode, for security reasons. However, this can be changed on request. |
