Open surveys go through 3 different stages, with different events at each stage.

On the date of the survey launch, the survey officially opens at 00:30 in the schedule time zone. If no schedule time zone is present, there’s a fallback order.
Employees can already complete their survey before receiving survey notification, by using the mobile app, personal dashboard, and generic kiosk link. We recommend finalizing all survey settings the day before survey launch. See Survey configuration options. |
Employees receive a notification when the send-out time starts. The standard send-out time is 09:00, but you can set a different time in the schedule settings. The prioritized time zone is the one on the employee record. If no employee record time zone is present, there’s a fallback order.
The first survey reminder is halfway through the round, and the second comes 4 days after. If either of these dates fall on a weekend, the reminder triggers the next Monday instead. |
New survey feedback enters dashboards continuously, as employees answer surveys. Driver scores update during the round. The selection of priority drivers from the last round remains until the priorities recalculate at round close. New comments display immediately. You can configure your access control so that certain groups only see comments after the round closes. |
Soft close |
On the date of the survey close, the round closes at 23:59 UTC. Survey close triggers the recalculation of driver priorities, topics, and highlighted segments. The calculation happens around an hour after the survey closes, approximately 02:00 UTC the next day. The survey hard closes 2 weeks later. You can hard close the survey manually at an earlier time. The Hard close button becomes available soon after dashboard recalculation in Administration > Schedules > Activity. |
Old email links from the current round are still functional. Employees won't receive further reminder emails at this point. It's not possible to add new employees to the survey during the soft close period. |
After the dashboard recalculates, it displays the latest priorities and strengths, comment topics, and highlighted segments. Employees can still answer the survey, enabling employees that have been away from work to participate. New data doesn't influence the selection of priorities, strengths, and topics. New scores affect current scores, but they only contribute to recalculations after the next round ends. This approach provides a period of stability when action planning can already be underway. Given the relatively small percentage late participants, scores don't change significantly during soft close. |
Hard close |
2 weeks after the soft close, the round hard closes, if you haven't already hard closed the survey round. |
Old survey links for the latest round are no longer functional. Employees can't receive reminders, and you can't add new employees to the round. |
It's not possible to submit new survey data beyond this point. |
