Context
Setting the time zone on employee records ensures that the survey notification can send at the set survey time in the employee's local time zone from the first survey round. Ensure that you've set employee record time zones at the latest 1 day before the survey round opens.
See Set employee record time zones in the user interface if you want to set time zones individually or in bulk within the user interface.
If you don't set the employee time zone, the survey will use certain fallbacks to inform itself on when to send the notification. See Survey send-out time for examples on the different fallbacks.
Steps
- Go to Administration > Employees.
- Either go to Import and download a template of the import file to put together using your employee data, or go to Export if you want to edit your existing employee data and re-import it.
- Add the region and city name for each employee in the Timezone column. Example: Europe/London or America/New_York.
See the full list of all time zone codes.
- (Optional) If you want to delete unnecessary columns, delete all except: First name, Last name, Email and/or Employee ID, Timezone.
- Go to Administration > Employees > Import.
- Import the file.
Example
You have set the survey time to 09:00, and you want all employees to receive the notification at 09:00 in their local time. Because you have employees that are 1 hour apart from each other (Dublin and Copenhagen), you want to set the employee record time zones for both groups. All employee records are already on the platform.
- Go to Administration > Employees.
- Click Export.
- Open the file.
- Set the Timezone column to Europe/Dublin for all employees whose local office is Dublin.
- Set the Timezone column to Europe/Copenhagen for all employees whose local office is Copenhagen.
- Go to Administration > Employees > Import.
- Import the file.
