Survey email types

Survey email |
Peakon sends a survey email to all included employees at the start of the survey. The email contains the survey link and shows the first survey question. This email can be customized, with regards to the subject or to the email text. The first survey email displays survey email text first, and the question after. Subsequent survey emails start with the question, followed by the survey email text. |
Survey emails are sent out at 9AM UTC, if the system does not know the timezone of the employee and if there is no time set for the survey send-out within the schedule. If there is no survey send-out time set within the schedule, the system will remember each employees' local timezone after their first Peakon email and record it for the future. Survey reminder email |
To maximize participation, Peakon automatically sends reminder emails at intervals in each survey round, to employees that have not yet answered their survey. The account administrators can choose to manually trigger a reminder email by clicking Change date. If a reminder is triggered manually, it will not affect the schedule of the automated reminders – it will simply be sent as an extra email. |
The first reminder email is scheduled for half way (in days) through the survey round. Peakon schedules the second reminder to employees every four days until the survey round ends.Reminder emails are never sent on the weekend, unless triggered manually. If a reminder email falls on a weekend, Peakon moves it to the following Monday. Reminder email send-out time aligns with the survey send-out time. |

Reactivation email |
Reactivation emails replace the regular survey email and reminder email when an employee has skipped three consecutive survey rounds in a row. Note, these cannot be turned off or customized. |
After the employee has received three re-activation attempts, Peakon reverts to the regular survey round email and reminders for that employee. The reactivation emails will be used again if the employee skips survey three consecutive survey rounds. |

Comment acknowledgement email
When an employee's comment receives an acknowledgement, they are instantly notified by email. A manager can acknowledge comments from all survey rounds they have access to.

Comment reply email
When a conversation has been initiated on an employee's comment, they are instantly notified by email, containing the manager's reply to the comment. The employee is able to to reply back to the manager's response by clicking View message and reply. The employee's identity remains confidential during the conversation.
If your organization uses the personal dashboard functionality, clicking View message and reply directs you to your personal dashboard, from where you can reply.

Note: It is possible for the administrator to disable the comment preview in comment reply emails in Data Settings within Administration. If the preview is disabled, the comment and conversation is only visible after clicking View message and reply.
Share dashboard email
If a manager shares their dashboard with the team, employees of that segment are automatically be notified by Peakon. The email contains the manager's name, and the name of the segment they shared.
